SECTION I: POSITION SUMMARY

The Project Manager position is a pivotal and exciting role in the ACB organization. You will lead new client onboarding projects ensuring that the transition and execution of the implementation makes a great first impression for the client. As leader of the Client Onboarding Team, you are the coach that delivers comprehensive and detailed project plans and drives a great customer experience for our Clients and stakeholders.

SECTION II: POSITION RESPONSIBILITY

  • Leads project kick-offs to establish contact information, meeting schedules and discuss standards and deliverables. Conducts needs assessment/discovery meetings with the client's HQ, IT, and vendor partners as needed.
  • Schedules ongoing meetings, creates and drives meeting agendas.
  • Documents project scope and specifications. Creates project plans using Monday.com project management software. Establishes timeline and works with involved parties to develop, edit and finalize Business Requirements Documentation.
  • Works with Business Analysts to write Functional Specs for ACB's IT tracking system. Conducts ongoing meetings with ACB's Operations and IT teams to discuss current phase of development and track project deliverables.
  • Coordinates internal and external resources, sets meetings and follows up as needed. Clearly communicates responsibilities, tasks, risks and timelines. Controls costs and risk by managing project scope.
  • Assists in internal user acceptance testing, coordinates external user acceptance testing.
  • Oversees transition from needs assessment through project post-mortem.

The position has relationships with many clients and may require interfacing with various client personnel, including, IT, sales, and operations to determine system requirements, pricing, project timelines, problem resolution, etc.

Reporting to the Director of Client Onboarding, the position interfaces internally with Sales, Account Managers, Operations, Corporate Staff, Human Resources, and all IT organizations.

Performs other duties as required. 

SECTION III: JOB SPECIFICATIONS AND QUALIFICATIONS

EDUCATION

B.S. in Business Management, Computer Science, MIS, or related field of study OR equivalent combination of education and experience. Project Management certification is preferred.

EXPERIENCE

Must have 3-5 years of experience in project management with demonstrable client relationship management.

REQUIRED COMPETENCIES

Broad understanding of websites, databases, data handling and processing concepts.

Intermediate understanding of marketing and/or claims processing, knowledge of channel marketing programs a plus.

In depth understanding of scope and risk management.

SKILLS/QUALIFICATIONS

Project management certification, or the desire to seek same is desired.

Experience with project management software, monday.com preferred.

Must have excellent written and oral communication skills and be able to work cooperatively and collaboratively with all levels of employees, management and third parties.

The ability to multi-task is mandatory, along with strong analytical skills, amazing follow-up. Desirable traits include being able to: be detail-oriented, work under pressure, meet deadlines, and work both independently and as a part of a team.

Requires a willingness and ability to learn every aspect of the business.

SECTION IV: WORKING CONDITIONS AND TRAVEL

Travel is required on occasion for client and/or management team meetings.

Work hours vary with each project. Certain projects may require additional or extended work hours. Project managers may occasionally be contacted at home/after hours for issues/escalations.
